In particular, we are looking for an experienced Team Secretary to join our London Office. You will be working in a busy Archaeological team, assisting approx. 9 professionals of all levels (Directors – Archaeological Consultants) with day to day secretarial support. You will be responsible for organising professional diaries, arranging meetings, travel arrangements etc.

You will need strong organisational skills, be methodical and a high level of accuracy is required to ensure that deadlines are met. Good communications skills required. High level IT skills required from Word to Excel to Powerpoint.

You will be assisting with timesheets, expenses, new clients, new jobs and monthly invoicing as well as other requirements. Assisting professionals with typing letters, reports, spreadsheets, collating reports, PDF’ing reports, photocopying reports.

A summary of the main duties is as follow-

• Organise diaries, arrange meetings, travel arrangements, venues and refreshments.
• To provide secretarial support, typing letters, composing basic letters, emails, reports, including the organisation of PDF’ing reports and photocopying and binding of reports.
• Provide IT support to team.
• Managing timesheets and expenses on a weekly/monthly basis.
• Taking confident telephone messages and disseminating information.
• Collating reports including plans etc, PDF reports and photocopy appropriately.
• Maintain comprehensive filing system - digital files and hard files, and opening new job folders as necessary.
• Assisting other secretaries as and when required.
• Assisting with answering of incoming telephone calls, covering reception on a rota basis.
• Any other duties, which may be appropriate.

The Office working hours are 9.30 a.m. – 5.30 p.m. You will be expected to work overtime as and when required.
