Administrative Assistant

WHAT’S ENTAILED IN THE ROLE
This position provides administrative and clerical project support to multiple Consultants to optimize/improve the efficiency of their project efforts, which includes:
• Handle all Reception duties including: answering phones, transferring calls, taking messages, greeting guests, etc.
• Perform routine clerical functions such as: scanning & electronic filing, printing, binding & shipping client reports, preparing mass mailings, typing memos, entering data into spreadsheets, making copies, receiving & distributing mail
• Assist with office set up for new hires, including: setting up desk space, activating security badges, ordering business cards, setting up phone extensions, etc.
• Serve as main liaison to the Office of the Building to ensure proper maintenance of all office space and compliance with landlord regulations.
• Maintain office equipment (printers, faxes, phones) and coordinating any/all needed maintenance and repair work
• Setting up Proposals, Opportunities and Projects in DelTek
• Sending and distributing contracts and project reports for review & approval
• Proactively communicating with Relationship Managers, Project Managers and Consultants regarding assigned tasks
• Performing a variety of other administrative & clerical functions as directed

WHAT’S NEEDED TO SUCCEED
The ideal candidate must be a disciplined and detail-oriented individual with a high level of enthusiasm, professionalism, and integrity who thrives in a fast-paced, intensely-focused and ever-changing environment and has:
• 2+ years experience as a Project Assistant or Administrative Assistant, preferably in a consulting environment
• Ability to work independently and complete assignments in a timely and accurate manner
• Proven expertise with Microsoft Office applications – Word, Excel & Power Point; experience with DelTek Vision is preferred
• Strong computer literacy, including experience in data entry, word processing and spreadsheets
• Proven ability to work well with others under deadline situations and respond to changes in priorities
• Strong attention to detail, self-directed and pro-active approach, with excellent verbal and written communication skills
• Strong service orientation combined with solid organizational skills
