Position Profile
Position Title: Administrative Assistant - Contract (6 months)
Reports to: Business Services Manager
Location: Calgary, Alberta Canada
Current Position Information: The Administrative Assistant is responsible for accurate and timely report and proposal preparation.
The Role: We are looking for an experienced Administrative Assistant to assume an active role in delivering accurate and timely reports and proposals within a busy support department for approximately a six month term; with the possibility manent employment.
Main Responsibilities: Prepare, revise and maintain controlled documents. Edit reports written by others to verify accuracy, consistency, grammar and format. Prepare course manuals and handouts. Provide reception and vacation relief for other administrative staff. The successful applicant should expect to work on multiple projects that often run simultaneously.
• Word process and format draft and final reports and proposals with direction from Project Directors/Engineers/Geologists
• Check electronic documents and hard copy reports for formatting and printing errors
• Refine Photoshop images for use in documents
• Prepare PowerPoint presentations, excel tables and charts for documents
• Creates and manages document templates
• Duplicate, distribute and storage of technical documents
• Provide departmental clerical/administrative support as necessary
• Vacation relief for team members
• Other duties as assigned
Skills
The successful candidate will have the following minimum requirements:
• High School/Secondary Education
• Effective oral and written communication skills
• Results focused team player with a positive attitude
• Deadline driven with the ability to thrive in a fast paced environment
• Ability to multi-task in a dynamic work environment and work with minimal supervision
• Initiative to suggest process improvement
• Proven problem solving skills, attention to detail and strong time management skills
• Excellent PC skills (Microsoft Office software)
• Excellent knowledge of English grammar
